Who is responsible for your information?

Nova Mind Digital is responsible for the personal information described here. Our contact details are: Nova Mind Digital, Guernsey, Channel Islands; hello@novaminddigital.co.uk; +44 7839 282256.

What we collect

  • Enquiries: Your first and last name, email address, phone number, service of interest and project details if you complete our contact form. We also receive whatever you choose to share by email, phone or WhatsApp.
  • Chat: Messages and contact details you enter into the website chat or WhatsApp. Please do not include sensitive information in an initial enquiry or chat message.
  • Website use: Technical information such as IP address, browser or device information, pages viewed, referral source and cookie choices. Analytics and advertising tools may collect identifiers and interaction data where enabled and permitted by your settings.
  • Client work: Contact and business information needed to prepare a quote, provide agreed services, keep records and communicate with you.

We normally obtain this information from you. If someone refers you to us or introduces us, we may receive your business contact details from that person and tell you about the source when we first get in touch.

How and why we use it

  • To answer an enquiry, arrange a call or prepare a quote. This is generally necessary to take steps you request before a contract.
  • To deliver services and manage a client relationship. This is generally necessary for a contract.
  • To maintain site security, prevent misuse, keep appropriate business records and improve our services. We rely on legitimate interests where appropriate, or a legal obligation where records are required by law.
  • To measure website visits, enquiries and advertising performance, and to use optional cookies or personalised advertising where applicable. We use consent where it is required. You can change cookie choices using the “Consent Preferences” button on the site.
  • To send marketing communications where we have a lawful basis to do so. You can ask us to stop direct marketing at any time by emailing us or using an unsubscribe option in a message.

You do not have to provide optional project details. We need a way to contact you to answer an enquiry; without it, we may be unable to respond. We do not use the website chatbot to make decisions about you with legal or similarly significant effects. Chat replies can be automated, so please check important details with us directly.

Cookies, analytics and advertising

Our site uses CookieYes to manage cookie choices. Necessary cookies support core site functions and your preferences. The consent panel also lists functional, analytics, performance and advertisement categories. You can reject optional categories or change your choices later through “Consent Preferences”. Browser settings can also remove cookies.

The site has Google measurement and Google Ads tags. Subject to applicable consent choices, these tools can help us understand visits and enquiries, measure ad results and advertise online. Third-party vendors, including Google, may show our ads on other websites and use cookies or device identifiers relating to earlier visits to this site if audience-based advertising is used. You can manage Google’s use of information for ads in My Ad Center, as well as through our cookie preferences. See how Google handles business data. Cookie details and categories may change when site tools change, so the consent panel provides the current choices.

Who may receive the information?

We use service providers to run the website and handle enquiries, including WordPress hosting, forms, email, security, analytics, advertising and chat services. They receive the information needed for their role. If you choose a WhatsApp link, your communication is also handled by WhatsApp under its own privacy terms. An AI-powered chat tool may process the text you provide to generate a response. We may share information with professional advisers or authorities when required by law. We do not sell your contact details.

Some providers may process information outside Guernsey. Where a transfer needs safeguards under applicable data protection law, we take steps to use an appropriate transfer arrangement. Contact us if you would like information about a particular provider or transfer.

How long we keep it

We keep enquiry and client information only for as long as needed to respond, manage an ongoing relationship, resolve issues and meet legal or accounting requirements. The period depends on whether you become a client and the type of record. Cookie durations and choices can be reviewed in the consent panel. We review records and remove or anonymise information when it is no longer needed.

Your choices and rights

Depending on the circumstances, you can ask to access or correct your information, request erasure or restriction, object to certain uses, or ask for a copy in a portable format. You can object to direct marketing at any time. Where we rely on consent, you can withdraw it without affecting processing that took place before withdrawal. Email hello@novaminddigital.co.uk to make a request; we may need to confirm your identity.

If you have a concern, please contact us first. You can also complain to the Office of the Data Protection Authority in Guernsey. If UK data protection law applies to a particular activity, you may also have the right to complain to the UK Information Commissioner’s Office.

Security and changes

We use reasonable measures to protect the information we handle and limit access to people and providers who need it. No online service can be guaranteed completely secure. We may update this notice as our services or site tools change; the date above shows the latest version.
